Registering for a Regatta

Entries are by email only. These e-mails should come from the crews co-ordinator and will be addressed to the Regatta Secretaries (Tom & Jerome) at regatta.secretary@maqrc.org. Entry emails must contain the following information:
         - Name of the regatta
         - Type of boat (e.g. 8+,4X+,2-)
         - FULL name of all crew members and their seat number
         - Coxes name
         - Your name and contact number

Entries will only be accepted before the entry cut off date which is the Friday two weeks prior to the regatta.



The Treasurer will generate regatta invoices based on regatta entries. These invoices will be sent out after the regatta and will reflect races rowed (in case there are any alterations from races entered).

All rowers are expected to pay regatta fees ASAP upon receipt of the invoice. If there are outstanding regatta invoices it may not be possible to enter upcoming regattas.

If there are any difficulties in paying invoices, please contact the Equity Committee.

Note:

Q: Why placeholders are used?
A: There are two scenarios in which the Regatta Secretaries may enter a rower other than the rower who actually participates in the regatta…

- Scenario A (Crew Change)
Either, one or more of the rowers you have entered has never rowed before and needs their rowing membership updated (this is done manually by Rowing Victoria on a rowers first row and takes some time preventing the correct rower from being entered), OR, you want to enter a regatta and know you WILL have enough rowers but at the time of entry there is a missing seat…
In this scenario the Regatta Secretary will enter a random rower to the seat that needs to be filled and lodge a request with the crew co-ordinator to perform a crew change at the regatta. It is the responsibility of the crew co-ordinator to ensure this change is completed on the day resulting in the correct rower being invoiced for the race.

- Scenario B (Rower Dropout)
If after the regatta entry cut off (even on the day of the regatta itself) a rower must be changed for another rower (because they’re sick, for example) then it is up to the crew co-ordinator to ensure a crew change is performed at the regatta and the rower who ACTUALLY rowed is listed as rowing the race. IF the original rower should be invoiced (not the fill in) then an email must be sent by the crew co-ordinator to the treasurer with the details of the change and the name of the correct rower to invoice.
Nb. Placeholders will always be asked before being used so no need to worry about your name being used without permission!
